What you’ll do:

  • Manage suppliers: Involves handling personal bank accounts, tracking pending payments through spreadsheets, ensuring accountability, and managing current accounts.
  • Provide virtual concierge services: Coordinate transportation, meals, events, etc. for guests.
  • Coordinate equipment and property maintenance: Includes interacting with local staff to understand their needs.
  • Offer payroll support: Close worksheets, review activities, process payments, and submit to the accountant.
  • Prepare management reports: Account for completed activities or projects under your function.
  • Reconcile bank expenses: Manage expenses for specific projects and allocate funds accordingly.
  • Oversee international purchases: Direct the purchasing process from the initial stage to reception.
  • Handle hotel and flight reservations: Preselect and purchase tickets, and search for accommodations.
  • Manage agendas: Coordinate meetings, calls, and assist with inbox organization.
  • Provide translation services: Translate documents from English to Spanish and vice versa.

What you must have:

  • 3+ years of experience as an executive assistant. 
  • Proficiency in Microsoft Excel. 
  • Patience, empathy, and highly effective communication skills.
  • Pragmatic approach to problem-solving.
  • Executive-level interpersonal skills: Ability to listen empathetically while ensuring completion of tasks.
  • Confidentiality and discretion: Ability to safeguard sensitive information heard in the course of duties.
  • An English level that is higher than advanced.
